PURPOSE
The Executive Assistant (EA) to the CEO plays a critical role in ensuring the smooth operation of the executive office by providing comprehensive support to the CEO. This position is pivotal for enhancing leadership effectiveness, enabling strategic focus, and fostering a positive internal culture.
SPECIFIC DUTIES & RESPONSIBILITIES
General Expectations:
- Provide high-level administrative support, including managing complex calendars, scheduling meetings, and handling travel arrangements.
- Act as a gatekeeper, prioritising communications and requests for the CEO’s time and attention.
- Prepare and manage confidential documents, reports, and presentations with discretion and accuracy.
- Coordinate and support board meetings, executive leadership team gatherings, and strategic planning sessions.
- Anticipate the CEO's needs and proactively address challenges, ensuring seamless daily operations.
Internal Communications:
- Serve as a liaison between the CEO and internal stakeholders, ensuring clear and timely communication of key messages.
- Draft and distribute internal announcements, speeches, and communications on behalf of the CEO.
- Facilitate the flow of information between departments, ensuring alignment with the CEO's strategic priorities.
- Organise and manage internal communication platforms to promote transparency and engagement across the organisation.
- Lead the delivery of UNICEF Aotearoa’s Annual Report.
Culture and Engagement:
- Act as a cultural ambassador, reflecting the organisation’s values and leadership principles.
- Support initiatives that promote a positive work environment, including recognition programs and team-building activities.
- Assist in fostering a culture of inclusivity, collaboration, and professional growth.
- Uphold and model professionalism, discretion, and a high standard of excellence in all interactions.
The EA to the CEO is instrumental in driving operational excellence, supporting effective leadership, and contributing to a thriving organisational culture.

- Be punctual and work the hours and times specified.
- Prioritise workload to ensure work of the greatest importance to the business is undertaken with urgency and to a high standard.

SKILLS, EXPERIENCE & EDUCATION
Experience:
- Experience in managing complex and commercially sensitive relationships.
- Proven advanced secretarial skills and extensive administrative experience.
CEO’s Office:
- Advanced user of Word, Excel, PowerPoint and MS Outlook and MS Teams.
- Advanced knowledge of administrative policies, procedures and technology.
- Significant relevant experience with demonstrable success in governance processes.
- Excellent verbal, presentation, and written communication skills.
Personal Qualities:
- Willingness to take on tasks outside defined duties from time to time and work co-operatively within a team.
- A sensible and dependable approach to administration and governance reporting.
- Ability to maintain personal and professional integrity at all times. - Methodical and organised, able to manage a complex workload.
